What document exchange does not replace

A digital file is not automatically proof that every contractual, insurance, customs or regulatory requirement has been met. The relevant party should confirm the document’s completeness, accuracy and acceptability for the specific transaction.

Do not describe the system as automatically validating insurance coverage, authenticating signatures or certifying regulatory compliance unless those exact functions are documented for the feature being used.

Sensitive business information should be handled according to your organization’s privacy, security and access-control requirements. Upload only the documents needed for the freight workflow and confirm who should be able to access them.

Operational habits

Make document exchange easier to use in day-to-day freight

Use consistent file names or document labels so dispatch, operations and billing teams can distinguish a BOL from a POD, photo set or other supporting file. When a corrected version is required, make the replacement clear.

Connect document expectations to shipment milestones. If a driver is expected to provide pickup photos or a signed POD, state that expectation before the move rather than discovering it after the freight is complete.

Keep communication about missing or corrected paperwork attached to the active shipment whenever possible. That reduces the chance of a document request becoming separated from the load it concerns.
