Spot Freight for Shippers
A load to move.
A carrier to confirm.
An extra order, a new lane or a pickup that needs a new plan. Post spot freight through the Logistware load board, review carrier options and agree on the rate, equipment and schedule for your shipment.
What is spot freight
for shippers?
Spot freight is transportation arranged for an individual shipment, with the rate and service agreed for that move. It differs from an ongoing arrangement covering recurring freight over a longer period.
A spot load can be planned ahead or posted when a shipping need changes. It does not automatically mean emergency delivery, a dedicated vehicle or the lowest price. Those details depend on the service you request and the offer you accept.
For shipping departments, transportation coordinators and freight brokers, Logistware connects this shipment-specific search with bidding, communication and dispatch tools in one Canadian load board.
- THE REQUIREMENT
- A defined load, route and pickup window
- THE CAPACITY
- A carrier with suitable equipment and an agreed schedule
- THE AGREEMENT
- A shipment-specific rate and service scope
- THE HANDOFF
- Confirmed instructions, contacts and freight documents
Find another option
for the load in front of you.
Spot freight capacity can support an occasional shipment or a gap in your regular transportation arrangements. Start with the actual job, not a broad request for any available truck.
Overflow & extra orders
A production run, seasonal order or replenishment request creates freight beyond your planned capacity. Identify the extra pallets or trailer space, and confirm when the goods will be ready.
A pickup needs a new plan
Your expected truck is unavailable or the collection window has changed. Resolve the existing arrangement, establish the revised deadline and seek a suitable replacement without leaving two pickups active.
New lanes & one-off moves
A supplier collection, warehouse transfer or project delivery sits outside your usual lanes. Give carriers the complete origin, destination and site requirements for that particular movement.
Spot freight versus
recurring contract freight.
A spot booking can sit alongside your regular carrier relationships. It is a way to arrange a specific move, not a requirement to replace your entire transportation plan.
| Consideration | Spot shipment | Recurring arrangement |
|---|---|---|
| Scope | A particular load and its agreed requirements. | Repeated freight within an agreed scope or period. |
| Pricing | An offer for the specified shipment and timing. | Rates and adjustment terms established for the arrangement. |
| Capacity | Confirm a suitable truck for the individual move. | Plan against agreed carrier commitments and booking procedures. |
| Useful for | Occasional loads, overflow, new lanes and backup capacity. | Regular movements with ongoing planning needs. |
Neither approach automatically guarantees a lower cost or available equipment. A spot shipment still involves agreed commercial terms; it does not mean shipping without an agreement.
- FREIGHT READY
- Actual ready date, collection window and time zone
- DELIVERY REQUIREMENT
- Requested arrival window and confirmed appointments
- CARGO & EQUIPMENT
- Commodity, dimensions, weight, pallet count and trailer needs
- SITE ACCESS
- Dock or ground-level access, loading help and contact details
Separate what is fixed
from what is flexible.
“As soon as possible” is not a pickup appointment. State when the freight will actually be ready, when the shipping dock closes and whether the receiver has confirmed a delivery slot.
Identify any flexibility in collection time, delivery date or equipment. If the deadline cannot move, say so before a carrier bids. A requested time is not a carrier commitment until both sides agree.
For pallets or skids, include the loaded measurements and gross weight. Our pallet shipping guide explains the details carriers need to assess space and handling.
Post the load.
Confirm the move.
Use the same Logistware account for spot freight and your other shipment postings. Route and equipment matching can help surface relevant carrier opportunities; your team decides whether an offer fits.
Publish the requirement
Enter the lane, cargo, dates, equipment and handling needs. Make important constraints clear in the shipment details.
Review carrier bids
Compare incoming offers and discuss timing or service questions. You can accept, reject or counter a bid.
Agree & award
Confirm the rate, scope and pickup plan before awarding the shipment. Make sure the carrier has the final instructions.
Assign & coordinate
The carrier team assigns the driver. Participants can use chat, documents and active tracking to follow the shipment.
Spot capacity for
different shipment requirements.
The booking approach does not determine the equipment. Describe your freight accurately and confirm the proposed vehicle, payload and loading arrangements with the carrier.
Dry van & general freight
Packaged goods, retail stock and industrial supplies may suit enclosed equipment. Confirm trailer space, dock access and loading needs. Explore dry van freight.
Refrigerated shipments
State the product requirements, temperature range and loading procedure. Confirm suitable equipment and handling with the carrier. Explore refrigerated freight.
Flatbed & open-deck
For machinery, materials or other open-deck cargo, disclose dimensions, weight, loading equipment and securement requirements. Explore flatbed freight.
Pallets & partial loads
If the cargo does not require a full trailer, discuss an LTL or partial-load arrangement. Confirm handling, possible transfers and delivery timing. Start with pallet shipping details.
These are examples, not a limit on the freight categories supported through Logistware. Equipment availability depends on the route, date, cargo and participating carriers.
Confirm the details
before releasing the load.
For spot truckload quotes or smaller shipments, establish exactly what the carrier is offering. A rate alone does not confirm the truck, pickup window or additional services.
Use the Freight Quotes Canada guide for a fuller rate-comparison checklist. Logistware supports carrier bids; this page is not an instant rate calculator or a published market-rate feed.
Logistware reviews submitted member information during onboarding. Your team should still confirm the carrier's suitability, relevant authority and insurance for the particular shipment. Read about the member-review process.
- Rate and validity: agree on currency, inclusions, extra charges and how long the offer remains available.
- Collection plan: confirm equipment, pickup window, dispatch contact and any appointment reference.
- Changes or delays: agree on how waiting time, cancellation or a changed delivery requirement will be handled.
- One clear handoff: tell the warehouse which carrier is collecting, and resolve any superseded pickup arrangement.
Connected tools
after the award, too.
Logistware is a Canadian load board for shippers, carriers and freight brokers. A spot booking uses the same shipment tools as other freight, so an occasional move does not need a separate workflow.
Live freight chat
Discuss offer details, pickup instructions and changes with the other participants. Make the latest agreed plan clear before the truck arrives.
Document exchange
Share bills of lading, proof of delivery, photos and shipment files. Keep the documentation connected to the load rather than relying only on separate email attachments.
Team & dispatch tools
Shippers can add dispatchers. Carrier teams can manage dispatchers and drivers and assign awarded shipments to the appropriate driver.
Real-time tracking
Follow shipment progress when tracking is active. Visibility depends on assignment, device permissions, location availability and connectivity; confirm operational changes directly with the carrier.
Define the lane.
Confirm the carrier can run it.
Post the actual pickup and delivery points for local, regional, longer-distance or supported Canada–U.S. freight. A general service area is not a promise that a suitable truck is available for every lane.
For a cross-border spot shipment, identify the border-related requirements, documents and responsible contacts before award. Confirm that the carrier can perform the movement and allow for the required coordination. See our cross-border freight information.
Spot freight for shippers FAQs
Where can I post a spot freight shipment?
You can register or log in to the Logistware load board and post the shipment's origin, destination, timing, cargo and equipment needs. Review carrier offers and confirm the arrangement before award. The same account supports spot freight and other shipment postings.
Does spot freight always mean urgent or same-day shipping?
No. Spot describes a shipment-specific booking arrangement. Expedited describes a time-sensitive service requirement. A spot shipment may need expedited handling, but you must request and confirm that service rather than assume it is included.
Can I use spot freight alongside my regular carriers?
Yes. A shipment-specific booking can help with occasional freight, overflow or a lane outside your regular arrangements. Respect any existing commitments and make sure the warehouse has one clear collection plan for the shipment.
Does posting a load book a truck automatically?
No. A posting invites carrier interest. Review the offers, agree on the transportation and award the load. Confirm the actual pickup arrangements with the selected carrier; a posting, match or bid is not a guaranteed truck.
Can Logistware guarantee the lowest spot rate?
No. Carrier bids depend on the shipment and available capacity. Compare the rate together with timing, equipment and service inclusions. Logistware does not guarantee the lowest price or a particular number of offers.
What if the pickup time changes after I post?
Communicate the revised requirement and make sure the shipment details reflect the current plan. Before proceeding, confirm whether the carrier's offer, availability and agreed charges still apply. Do not assume a changed date automatically preserves the original booking.
Who transports the freight?
The selected carrier performs the transportation. Logistware provides the load board and connected freight tools. Your team remains responsible for choosing a suitable carrier and agreeing on the shipment's commercial and service requirements.
Have freight outside
your regular plan?
Post the load through Logistware. Give carriers a clear requirement, review the offers and coordinate the shipment with your team.
